Housing Delegate Manager, London up to £30k. An excellent opportunity has arisen with this Global Leading events and training business for the oil and gas industries are looking for an experienced Events Manager to be based in the City of London on an initial contract basis.

Housing Delegate Manager Pre-Event Responsibilities:

  • Research, negotiate and contract hotels as required
  • First point of contact for all hotel enquiries
  • Setup and update the online housing system (Events Air) as and when required
  • Manage contracts, room inventory, concessions and any updates to room blocks with partner hotels
  • Manage all online hotel bookings
  • Manage the rooming list process with hotels and groups, ensure reservation confirmations are issued to clients in a timely fashion

Housing Delegate Manager Responsibilities:

  • To provide a professional and efficient impression of our team and event to incoming calls and clients.
  • Manage the entire housing process including, hotel sourcing, room-block and contract negotiations as well as relationship management.
  • Setup, update and manage the hotel portal (EventsAir) and produce updates and reports as necessary
  • To ensure that the pre-event, and onsite process of hotel bookings are smooth and hassle-free
  • To manage room blocks and monitor bookings to ensure we have enough rooms available for event attendees
  • To work within agreed timelines, which will be tracked by the Project Manager
  • To manage the housing staff team onsite, ensuring everyone is well trained and briefed
  • Successfully manage unexpected situations, including last minute room sourcing
  • Provide accommodation assistance and customer service on-site, resolution of conflicts, issues, and concerns
  • Produce accurate final pick-up reports, liaise with hotels and our clients for hotel revenue reconciliation
  • Assist with producing a post event report

Housing Delegate Manager Skills Required:

  • Minimum of 2 years' experience in either Hotel Event Management or Event Housing for large B2B events
  • Experience in pre-event and onsite housing management for large conferences; either from events with more than 1,000 delegates or hotels with more than 400 rooms
  • Good knowledge of invoicing procedures and credit control
  • Ability to remain calm whilst working under pressure and manage grievances
  • Experience of dealing with very senior level people and demanding clients
  • Experience with dealing with a large number of hotels
  • Excellent prioritising and time management skills
  • Speak and write fluent English and another language is advantageous
  • Have the ability to build, develop and nurture strong relationships
  • Able to juggle multiple projects
  • Be prepared to travel internationally if required. With the potential of 3-4 weeks before each event, as advised by the Project Manager

Housing Delegate Manager Additional Information:

  • Paying up to £30,000 DOE
  • Must be fluent in English and ideally another language to be considered
  • 4-6 month contract, with a view to be extended
  • Based in the City of London
