The Role:
Reporting to the Head of Operations, Global Business Development, the Operations Executive, Global Business Development will be placed within a fast-paced, dynamic and international Business Development Team. 

A large part of the role will consist of supporting and assisting with the delivery of the recently awarded ‘regional buyers event’ for Saudi Tourism Authority. The project will see Jacobs Media
lead the delivery of a marketplace event in Saudi Arabia to connect their domestic tourism suppliers with buyers from around the globe in the first part of 2025.

Your involvement in the project will involve coordination of meetings, follow-up on deliverables, liaison with STA head office, liaison with external contractors, finialisation of presentations and 
general administrative support for the project. 

In addition to this, the role will be responsible for assisting with the day-to-day operations of Travolution, Resilience Council and Connecting Travel, as well as supporting group wide business development. 
The key component will be ensuring that the team is delivering client activity across our media and events portfolio to the highest of standards. This will be achieved by the Operations Executive, Global Business Development taking ownership of the team deliverables tracker, ensuring that all activity is delivered and that any issues are flagged to the team and clients early and mitigated effectively. This will require key organizational, communication and account management skills as you work between the commercial and delivery teams at Jacobs Media to fulfil our clients’ deliverables.

The Global Operations Executive will also provide key sales support such as contracting, invoicing, assisting finance with cash collection and producing commercial proposals for the commercial team members. 
In addition to this we will require support with organising team members’ diaries, such as booking meetings with external parties and assisting with travel arrangements as well as ad hoc support at our events in the UK and internationally. 

Responsibilities:
Sales Support

- Assisting with the contracting of new clients and ensuring their deliverables are added to our CRM Salesforce.
- Constantly monitoring the Global Business Development Teams deliverables tracker to ensure that all client activity is delivered when intended and to a high standard. 
- Working constantly as the point of contact between our clients, our commercial team and our internal delivery team at Jacobs Media.
- Ensuring all contracts are signed and added to Salesforce. 
- Ensuring all invoicing is set up correctly in line with Jacobs Media’s specifications and the client’s billing information is correct. 
- Assisting the commercial team by creating proposals for new business.
- Assist with the production of post-campaign reports for major clients.
- Assisting with Lead Gen for Global Business Development brands across Travolution and Resilience Council.

Team Support 
- Take minutes from weekly team meetings and distribute follow-up actions amongst the team so that we can ensure that no tasks are dropped and we are all working in the same direction. 
- Diary support such as scheduling meetings, assisting with travel arrangements, and any other activities related to assisting with our teams schedule.
- Working in close cooperation with Jacobs Media brands.
- Ad hod support with cash collection and ensuring our team’s suppliers and contractors are paid in good order.
- Assisting the team with ad hoc support tasks.

Events
- Working with the Group Events team to ensure the seamless delivery of our brands events by ensuring that the events team deliver all contracted client deliverables. 
- Assisting the event teams with profiling and recruitment of event attendees where required. 
- Attending our events where necessary, either domestically or internationally, to support delivery and to represent the brands in market
